What should an HVAC estimate include?
An HVAC estimate should include customer and job site details, the system make, model, and serial number, an itemized breakdown of labor and materials with unit costs, and a validity date so the price does not stay open-ended. A thorough estimate protects you from scope disputes and gives the customer confidence to say yes. Cover all eight of these every time:
- Customer contact information. Name, phone, email, best time to reach, and a backup contact
- Job site address. Address, gate codes, dog warnings, lockbox info, or other access notes
- Equipment details. System make, model, serial number, age, and tonnage for every unit
- Itemized labor and materials. Line-by-line pricing with quantities and unit costs; diagnostic and trip fees broken out
- Scope of work summary. What the estimate covers, what it excludes (permits, haul-away, electrical upgrades), and conditions that could change the price
- Validity period. Expiration date on the quoted price, typically 14 to 30 days for HVAC work
- Payment terms. Accepted methods, deposit requirements, balance due on completion
- Warranty information. Coverage length on labor and on installed parts separately
