What syncs to QuickBooks Online

Every entity Claver writes to QBO, which direction it moves, and what sets it off. Nothing is pulled back from QuickBooks into Claver.

Every push is written to a sync ledger you can read in the app, one row per entity, with the QBO id and the result.

How to connect QuickBooks Online

Connection is native OAuth 2.0 with Intuit. There is no Zapier step in the middle and no keys to paste. You need to be the owner or an admin on the account.

  1. Open Settings, then the Payments tab. The QuickBooks Online card sits below your Stripe settings, with a status pill reading Not Connected.
  2. Click Connect QuickBooks Online. A popup opens Intuit sign-in. Approve the accounting scope and pick the QuickBooks company you want Claver to post into.
  3. Wait for the card to flip. The popup closes itself and the card shows your company name, Connected, Auto-sync active, and the last sync time.
  4. Complete one test job. Mark a small job complete and paid, then open the Sync Log table on the card. You should see customer, invoice, and payment rows with QBO ids.
  5. Use Sync Now when you need it. The Sync Now button pushes the most recent paid job on demand, and the deep sync panel below can sync a single job or every unsynced job in one pass.

How often it runs

There is no nightly batch and no polling. The sync is event driven: completing a job with a total, or recording a payment, fires the push in the background without blocking what you are doing. If something failed, or you connected QuickBooks after the work was already done, the manual buttons catch you up.

Every push is idempotent. Claver hashes the payload it sent last time, skips the call when nothing changed, and when an invoice already exists in QBO under the same document number it updates that invoice rather than creating a second one. Re-running a sync does not duplicate your books.

Which plan includes it

What it does not do

Worth knowing before you connect, not after:

  • It is one way. Claver writes to QuickBooks. Nothing you change in QuickBooks flows back into Claver.
  • There is no item catalog mapping. Invoice lines post against one shared Services item rather than a per-pricebook item in QBO. Your line descriptions and amounts carry across in full.
  • QuickBooks Desktop is not supported. The integration is QuickBooks Online only.
  • Your QBO company needs an income account before the first sync, so the Services item has somewhere to post. Any standard chart of accounts already has one.

Changes you make inside QuickBooks stay in QuickBooks and do not flow back into Claver.
